Start a Note using Zoom My Notes

Whether for personal transcription or transcribing an in-person meeting, you can start a note directly from the Zoom Workplace desktop app, and enable My Notes to access your microphone and system audio for transcription.

Notes:

  • If you have enabled automatic microphone activity detection, configured your settings so that Zoom voice activity will not be ignored, and have your Zoom Workplace desktop app open, a Take notes notification will appear when Zoom detects activity from your microphone so you can open My Notes.
  • To choose whether voice activity can automatically surface a notification, update your automatic voice activity detection preferences in the Zoom Workplace desktop app settings. Learn more about managing My Notes automatic voice activity detection.
  1. Sign in to the Zoom Workplace desktop app.
  2. In the navigation bar, click the My Notes tab .
    Note: If you do not see the My Notes tab , click the More tab , then click My Notes .
  3. At the top-right, click the Create a new note icon to begin taking notes.
  4. (Optional) You can also click the Home tab in the navigation bar, then click My Notes .
  5. If a verification dialog appears, click Continue, then click Allow to grant Zoom access to your system audio, or click Skip for now.
    Notes:
    • If you click Skip for now, you will be unable to use audio transcription for My Notes.
    • If the Automatically detect voice activity to create My Notes feature is enabled and Zoom voice activity is not set to be ignored, the following will occur:
      • In your desktop, a Take notes notification will appear when voice activity is detected.
      • In the My Notes window, within the Transcript section, transcription will begin immediately when a new note is opened.
  6. (Optional) In the Manual notes field, at the bottom of the window, enter your notes.
    Your notes will be saved as you enter them.
  7. (Optional) At the top-right of the My Notes window, click the More icon to use the following options:
    • Add workflow to this note: Lets you attach a workflow automation to the note.
    • Copy link: Adds a link to the note to your clipboard.
    • View all notes: Opens My Notes in the Zoom Workplace desktop app and lets you directly access your previously generated notes.
    • Delete: Cancels the current note.
      Note: If transcription was used, deleting the current note will also delete the associated My Notes transcript.
  8. (Optional) In the Transcript section, click the Transcript settings icon :
    • Transcription language: Lets you choose the transcription language from the language selector.
    • Microphone settings: Lets you choose the microphone audio source.
  9. (Optional) In the Transcript section, click the Minimize icon to minimize the transcript or click the View full transcript icon to show the full Transcript panel.
    Note: If you choose to minimize the Transcript section, it will become a compact tab that lets you move it anywhere within the My Notes window, pause or resume the transcription, or expand it to restore the Transcript section to its original size.
  10. (Optional) If you're using My Notes transcription, click the Pause icon  to stop the transcription, then click the Resume icon  to continue the transcription.
  11. Once you're finished taking notes, click Done.
  12. When prompted for verification, click Complete to complete the note and end the transcription.
    Notes:
    • After you click Complete, you won't be able to resume the same note, but you can start a new note and transcription.
    • A No content available notification will appear if you're trying to save a note that has no content. You can click Save anyway to continue saving the blank note or click Delete to delete the note if you don't need it.
    • An Inactivity detected notification will appear if no activity is detected for five minutes. You can click Dismiss to exit the notification or click Delete to cancel the note.
