Managing Permissions on Documents and Document Libraries in SharePoint (Team Collaboration)

Another feature built into SharePoint is fully customizable permissions on all of your files, folders and libraries. Depending on your permissions for a library, you should be able to specify who can access any of your files and folders and to what extent:

  • Read-only
  • Modify
  • Full control

There are a few things to keep in mind regarding permissions:

  • By default, the permissions on a particular library or document is determined by the permissions of the site or library it is contained in (this is referred to as  'inheritance').
  • To change permissions away from this default setting, you will need to 'stop the inheritance'.

To Change Permissions for a Document Library (and all its files and sub-folders)

Step1: Stop Inheritance if needed

  • Click on Document Library and select the Library TAB on the ribbon.
  • Click on Library Permissions - this will show you the current permissions for the library.
  • To Change Permissions:
    • Click on the 'Stop Inheriting Permissions' icon.  Now you can remove existing permissions or grant new permissions using the ribbon commands
